Configuring Email History List

Email History List Settings: Email History List Settings determine where and how to store outgoing emails so that they can be part of the Email History of an item. The outgoing emails are stored in a separate list in the same site (that is, the list where emails are sent from is different from the list where the outgoing emails are stored).

 

Setting up the Email History List

The Email History List needs to exist prior to configuring in this app. It needs to be a list, not a library, in the same site. It needs to have columns that can store the outgoing email data. It can have any name (does not have to be named "Email History" or "Email Tickets").

 

Here are the minimum columns that list needs. More can be added if desired:

Note on "Related Ticket ID": This is a Lookup column. For "Get information from", choose the list where the emails are sent from. For "In this column", choose "ID". This column can have any name, though "Related ID" or similar name helps make it clear what it is used for.

 

Note on "Email Type": This Choice column should be named "Email Type" and have these two choices (with no default value):

Incoming Email

Outgoing Email

 

 

Configuring Email History List

To modify settings for an existing list, click on 'Edit' icon (pencil).

To change which list stores the outgoing emails, delete the current setting with the X button and then press New Configuration.

The History List is blank after deletion. Press New Configuration to add another list.

NOTE: There can only be one Email History List configured in Email Manager at any one time.

Email History List: the list where the outgoing emails will be stored

Parent List Linked Column: the column on the Email History List that stores the item ID of the item used to send the email. This is needed so that the email can be associated with the item that sent it.

Other settings above: these map data in the outgoing email to columns in the Email History List.

 

Note: When trying to configure 'Email Manager’ on a list that is already configured as an ‘Email History List ’ for another list, it shows the below message.
